Change organisation details

School RTOs must report substantial organisational detail changes to the QCAA, as outlined in the National Vocational Education and Training Regulator (Compliance Standards for NVR Registered Training Organisations Fit and Proper Person Requirement) Instrument 2025.

Substantial organisational changes include change:

  • to ownership or legal name
  • to delivery sites
  • to third-party arrangements, including commencing or ceasing third-party activities
  • in CEO (principal)
  • in RTO delegated officers.

Note: School RTOs must report substantial organisational detail changes within 10 calendar days of the changes occurring. They must report changes to third-party arrangements within 30 calendar days of the changes occurring.

To report organisational detail changes:

Complete the ‘Change of organisational details‘ activity in the VET app in the QCAA Portal, and;

  • if the changes relate to a new CEO: complete, sign, and attach Fit and Proper Person Requirements Declaration and CEO Statutory Declaration
  • if the changes relate to a new RTO manager: complete, sign, and attach Fit and Proper Person Requirements Declaration
  • if the changes relate to a commencement of a third-party arrangement: attach a copy of the signed third-party agreement.

Notification of a cessation of a third-party arrangement, change of Public enquiries officer or change of details on the school RTO’s website, do not require any attachments.
